Job Duties and Responsibilities:

  • Assist in issuing documents to specialist vendors, including project plans and associated communication documents.
  • Process and prepare submittals for incoming and outgoing documents.
  • Assist in documenting tender submissions and award documents.
  • Responsible for the financial tracking for all construction projects.
  • Prepare contracts for review before award.
  • Plan and schedule project timelines and milestones using appropriate tools.
  • Track project milestones and deliverables.
  • Provide assistance and support to immediate external contractors in all facets/areas of the project.
  • Coordinate all documentation and work with Landlords and internal real estate department.
  • Assist in developing content of status reports from the project team, analyze results, and troubleshoot problem areas.
  • Detail all field requests, seek approvals and execute working independently.
  • Participate in weekly meetings to update all stakeholders on project progress. Update meeting minutes as required.
  • Assist as required in contract change management and contract closure.
  • Establish and maintain regular written and in-person communications with Senior Management, and end users regarding pertinent contract activities.
  • Provide appropriate contract and subcontract information to the accounting department.
  • Process and submit RFI.
  • Other duties as assigned by Director of Real Estate and Construction.

Qualifications required:

  • A minimum of 4+ years coordination experience.
  • Comfortable working in a fast paced and rapid environment.
  • Post-secondary education in, construction or coordination based business
  • Understanding of budgets, scheduling, and planning.
  • Ability to read and interpret construction drawings. (Considered an Asset)
  • Strong business acumen, client service minded and understands the importance of delivering projects to a high standard.
  • Demonstrated competencies: Microsoft Office including Outlook, Word, Excel, PowerPoint, Adobe.
  • Experience with AutoCad is an asset
  • Experience with MS Project or other construction management software would be an asset
  • Effective communicator with the ability to develop effective working relationships with employees at all levels
  • Sense of urgency and drive to succeed. Must be comfortable working within a deadline driven fast paced environment, this roll will suite a self starter that is given the opportunity to work independently.
  • Resourceful, energetic and able to manage multiple diverse project requests.
  • Real team player, willing to assist their colleagues.
