Reporting to the Director, Portfolio Servicing, the Confirmations Administrator is responsible for managing customer interactions at various stages of the booking process. This includes verifying customer information, ensuring compliance with documentation requirements, and mitigating potential fraudulent activities. The role involves conducting outbound calls to customers, both pre-booking and post-booking, with a focus on providing excellent customer service and maintaining strong relationships with merchant partners.
Responsibilities:
- Conduct outbound calls to customers prior to booking to confirm receipt of the unit and verify customer information.
- Review and validate customer documentation to ensure accuracy and compliance on MS Edge.
- Identify and mitigate potential fraudulent or unethical behavior from merchant partners.
- Maintain vigilance in detecting discrepancies and take appropriate actions to address any concerns.
- Reach out to customers before deals are funded to confirm details and ensure a smooth transaction process.
- Initiate welcome calls to customers after a deal is closed by a new merchant.
- Gather feedback on their experience with the merchant partner and check if there are any issues with the unit.
- Ensure high levels of customer satisfaction by addressing any concerns promptly.
- Achieve a target of 70 outbound calls per day, ensuring each interaction is professional and customer focused.
- Document all customer interactions and feedback accurately in the system.
Requirements:
- Proven experience in a customer service or administrative role, preferably in a financial or retail environment.
- Strong communication and interpersonal skills.
- Ability to handle high call volumes efficiently.
- Detail-oriented with excellent organizational skills.
- Proficiency in using MS Edge and other relevant software tools.
- Ability to work independently and as part of a team
Additional Requirements for Internals:
- Must have been in your current role for at least 9 months
- Have the endorsement/support of your current manager
- In good standing - no HR issues/warnings, not on a PIP
Schedule: Monday to Friday 9:00 AM – 5:00PM, with one 1:00 – 9:00PM shift within the week; one Saturday a month
