As our Senior Payroll Specialist, you’ll manage bi-weekly payroll for corporate groups, guide junior staff, and oversee the UKG Pro payroll system and timekeeping activities. You’ll resolve payroll inquiries, maintain high customer service standards, prepare reports, conduct audits, and support the Payroll Manager. Ensuring compliance with policies and legislation, you’ll keep the team informed of updates. You’ll build interdepartmental relationships, prepare payroll reports, support month-end/year-end processes, lead projects, and manage system optimization, including training and troubleshooting.
What will you be doing?
General Payroll Administration:
- Process bi-weekly payroll for corporate groups, ensuring accuracy and timeliness.
- Guide and support junior payroll staff, ensuring adherence to processes.
- Manage the UKG Pro payroll system and oversee timekeeping activities within the WFM system.
- Address and resolve payroll inquiries efficiently through the payroll ticketing system, maintaining high customer service standards.
- Communicate promptly with employees regarding payroll issues or discrepancies.
- Prepare and maintain reports, queries, and conduct audits to ensure data integrity.
- Support the Payroll Manager with team responsibilities as needed.
Compliance and Record-Keeping:
- Understand goeasy procedures, payroll processes, and HR policies, sharing relevant information with the team.
- Ensure payroll procedures and policies are documented accurately and available for team members.
- Monitor updates to company policies, employment standards, and payroll legislation, informing the team of changes.
Reporting:
- Maintain strong relationships with other departments and serve as the primary contact, escalating matters to payroll leaders when necessary.
- Prepare and deliver detailed payroll reports, ensuring timely distribution to Finance, HR, and other departments.
Month-End, Year-End, and Projects:
- Support the Payroll Manager with team and projects.
- Lead the month-end process, providing updates to the Manager and Sr. Manager, and seek support from Senior Payroll members when needed.
- Lead projects independently and present them for approval.
- Oversee the timely completion of year-end payroll tasks, ensuring reports are reconciled and balanced.
System Management and Optimization:
- Act as the key WFM contact for the team, providing training and serving as the first point of contact for questions.
- Oversee payroll systems, facilitate updates and improvements.
- Troubleshoot issues and work with appropriate parties to resolve them.
What experience do you have?
- Post-secondary education in Finance, HR, or Payroll, or an equivalent combination of education and experience.
- Relevant NPI payroll certification or actively working toward it.
- Minimum of 3-4 years’ experience in processing full cycle payroll.
- Previous experience with UKG Pro/Ultipro, Workday, Dayforce, SAP, or people@work.
- Advanced Microsoft Office skills, particularly in Word and Excel.
- Excellent organizational and multitasking skills.
- High level of customer service.
- Flexibility in work hours.
- Excellent communication, problem-solving, and analytical skills.
- Strong attention to detail.
- Ability to work in a team environment and perform well under pressure and strict deadlines.
