We are seeking an experienced Team Manager, Legal Administration to lead and support a team of Legal Administrative Assistants in a fast-paced legal collections environment. This role is responsible for overseeing daily workflows, driving performance, meeting service and quality standards, and providing hands-on leadership, coaching, and operational support to the paralegal team.
A day in the life of a Team Manager, Legal Administration:
- Lead, coach, and manage a team of Legal Administrative Assistants.
- Oversee daily operations and workflow within the ACL legal file management system.
- Ensure accuracy, completion, and timeliness of all legal administrative tasks.
- Motivate the team to consistently meet or exceed monthly performance targets.
- Plan and prioritize workload to ensure deadlines and service standards are met.
- Provide onboarding, training, and ongoing performance support to team members.
- Manage team timecards and support scheduling needs.
- Maintain and update departmental policies and procedures related to legal administration.
- Report team performance, workload status, and key issues to the Director, Legal.
- Oversee legal administrative functions, including:
- File opening, organization, and maintenance
- High-volume correspondence and mail processing
- Shared inbox and phone management
- Drafting correspondence and supporting legal documentation
- Insolvency file administration and trustee correspondence
- Lien registrations through the Personal Property Registry
- Document scanning and records management
- Provide administrative support to the Paralegal team as required.
What we are looking for:
- Experience leading an administrative team.
- Background in the legal and/or financial industry is an asset.
- Strong verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Advanced computer proficiency with the ability to quickly adapt to new software.
- Demonstrated ability to multitask and manage time effectively in a fast-paced environment.
- Strong leadership, interpersonal, and motivational skills.
- Excellent customer service mindset.
- Capable of performing well under pressure and meeting tight deadlines.
- Consistently represents the company with professionalism and integrity.
- Full-time availability with the ability to work in our head office in Pickering, ON
Additional Requirements for Internal Candidates:
- Must have been in your current role for 9 months.
- Have the endorsement / support of your current manager.
- Must not be currently under corrective action or within 6 months of any previous corrective action.
- Must be achieving or exceeding the required level of individual performance in your current role.

We are offering $55,000.00 - $65,000.00/year CAD for this role, plus the opportunity to earn performance bonuses.
