We are seeking a dynamic Office Services Coordinator to join our Real Estate and Office Services team! Reporting to the Senior Manager, Facilities & Property Management, this role plays a key part in keeping our corporate offices and retail locations running smoothly. You’ll support office services and facilities operations across our corporate offices and retail network nationwide. This is a fully on-site role based in Mississauga, with occasional travel to our Toronto and Pickering offices.

What will you be doing?

  • Office Services:
    • Be the friendly face of the office by maintaining a clean, professional workspace and greeting and directing internal and external visitors.
    • Coordinate office maintenance requests with property management teams and vendors.
    • Respond to and track requests through the office services ticketing portal. 
    • Support office logistics, including building access and parking.
    • Support the healthy snack and coffee program, including ordering from vendors, restocking, and organization.
    • Maintain office services budget trackers and supporting documentation. 
    • Coordinate day-to-day service support with office vendors such as cleaning services, towel services, etc.)
    • Work closely with teams across the business to help maintain consistent standards, safety, and office practices across locations.
    • Maintain mailrooms and stoarge areas, including tracking inventory and ordering office supplies and stationery.
    • Assist with answering, screening, and directing phone calls.
    • Provide on-site support for meetings and office events as needed.
    • Serve as an on-site First Aid and Health & Safety point of contact.
  • Facilities Support:
    • Support alarm and security requests for retail locations, including call list updates, maintenance coordination, and PIN changes.
    • Assist with tracking retail quality standards across easyhome and easyfinancial locations.
    • Conduct field reviews as reviews as required to support centralized tracking and ensure quality across all locations.
    • Assess vendors in collaboration with field teams to guarantee customer satisfaction and compliance with standards.
    • Maintain centralized records and databases that support the retail networks quality initiatives.
    • Support vacation coverage for faciliates team tickets requests.

What experience do you have?

  • 2-3 years of experience in a similar office services, facilities, or administrative support role.
  • Post-secondary education or equivalent in office administration is considered an assest. 
  • Strong computer skills, including Microsoft Office (Word, Excel, Powerpoint) and Canva, with ability to work confidently in spreadsheets and manage data.
  • Strong written and verbal communication skills. 
  • Able to work well under pressure and meet tight deadlines in fast paced work/office environment. 
  • Fire Warden/First Aid Certified (or willingness to obtain).

We offer a Flexible Work Program that provides you the ability to work five days onsite per week, from our Mississauga office, with occasional travel to our Toronto and Pickering offices.

$55,000.00 – $66,000.00 CAD (includes base salary and bonus)
